Multifunction Devices

PLEASE NOTE: Corporate Supply Arrangements are no longer in place for photocopiers. In their place, corporate supply arrangements have been established for multifunction devices (MFD's) that offer scanning, printing, faxing and copying functionality. Customers may order multifunction devices that only have copying functions. Please see detailed information in the link:

Requests continue to be received for stand-alone facsimile equipment.  A RFP was conducted and no compliant responses were received.  Our understanding is there may still be some product available in the marketplace; however, this product is only sold by manufacturers through retail outlets.

As the Province has a supply arrangement is place for Multifunction Devices, any facsimile equipment acquired must meet the following specifications:

  1. The price must be under $150, excluding taxes, and
  2. The equipment must not contain or have the ability to contain a network port that allows connection to a stand-alone computer or data network.

Ministries should use their Purchasing Card for acquisition of all facsimile equipment that meets the above specifications.

If ministries representative require clarification as to whether a specific model of facsimile equipment meets condition number two in the specifications, they should contact their ministry IT Service Manager.

Multifunction Devices

Multifunction devices provide end users with copying, printing, faxing and scanning functionality in a single machine. Often referred to as "MFD's", multifunction devices are the replacement technology for applications that previously would have required a photocopier. They can also be a replacement for standalone printers, fax machines and scanners. MFDs are usually connected to an organization's data network and compatibility with internal IT security standards is an important consideration in an organization's selection of a make / model.

Guidelines for Ministries and Core Government

All ministries and other core government organizations are required to obtain secure MFD services through Workplace Technology Services within Shared Services BC. The base service provided by WTS includes order management, installation, consumables management, operational support, and secure disposal services.

MFD configurations are available in both monochrome and colour, and in compact, standard, and deluxe configurations:

  • The “standard” configurations in the monochrome and colour categories have been designed to meet the majority of clients' output requirements.
  • The compact configuration is for installations where floor space is limited and a paper sorter / stapler is not required

  • The deluxe configuration has additional paper handling capabilities

Equipment provided by WTS is supplied by Ricoh.

Guidelines for Broader Public Sector


As the result of a recent Request for Proposals, Corporate Supply Arrangements should be available soon for use by the broader public sector. CSAs are being worked on with three manufacturers and public sector organizations will be able to acquire MFDs from the manufacturer of their choice. Details of the CSAs will be posted to this page as the CSAs are finalized.

Return of Leased and Rented Copiers

Ministries and other core government organizations that are returning leased or rented photocopiers are required to comply with the security policy issued by the Office of the Chief Information Officer regarding the Disposal of Electronic Storage Media.
